Is this really free?
Yes, completely free. There's no cost to your organization or the people you serve. The screening tool checks eligibility for government programs like SNAP, Medicaid, LIHEAP, and tax credits. No ads, no sales pitch, no hidden fees.
How does this stay free?
When someone screens and qualifies for certain programs like ACA health insurance, Medicare, or SSDI, they can optionally connect with a licensed specialist who helps them enroll at absolutely no cost. These specialists are compensated by the programs and insurance companies themselves, not by the person enrolling. Nobody ever pays anything, and nobody ever gets sold anything. We receive a small referral fee for making that connection, which is what keeps the tool free. That connection is completely optional and the screening works exactly the same whether someone uses it or not.
What data does our organization see?
Your partner dashboard shows aggregate statistics only: total screenings, which programs people qualified for, and estimated benefits value. You never see individual responses or personal information. This data is great for grant reporting and demonstrating community impact.
Is the screening anonymous?
Yes. The screening doesn't ask for names, Social Security numbers, or email addresses. It only collects household info including ZIP code, income, household size, age, and situation details to calculate program eligibility. All data is encrypted and stored on SOC 2 compliant infrastructure.
How accurate are the results?
The screening uses current federal and state eligibility guidelines, the same data sources as Benefits.gov and Healthcare.gov. Results are estimates to help people know what to apply for. The actual determination always happens through the official program, like the state SNAP office or Social Security.
Will our clients know how to use it?
The screening is designed to be simple: big text, multiple choice questions, no account creation needed. It takes about 2 minutes on any phone or computer. Every flyer includes both a QR code and a plain website link, so people can type it in if they prefer. Staff can also walk someone through it on a shared computer.
How do eligibility rules stay current?
Federal eligibility guidelines update on a set annual schedule. Federal Poverty Level updates in January, SNAP thresholds update in October, and tax credits update annually. We monitor all federal sources and update the screening as soon as new numbers are published.
We already do benefits screening. Why would we need this?
Think of it as a pre-screening step. Your clients can run through it in 2 minutes on their phone before they meet with staff, so when they sit down with a counselor, everyone already knows what programs to focus on. It saves your team time on the initial eligibility conversation and can catch programs people wouldn't think to ask about. It's a force multiplier for your existing staff, not a replacement.
Is the platform secure?
Very. The platform runs on Vercel and Supabase, two of the most trusted infrastructure providers around. Vercel powers the web presence for brands like McDonald's, Under Armour, and Washington Post. Supabase is used by thousands of organizations to store sensitive data. Both are SOC 2 certified, with data encrypted in transit and at rest. We take security seriously — and we've built on infrastructure that does too.
What about client confidentiality?
There's nothing to worry about because we don't collect anything confidential. The screener doesn't ask for names, Social Security numbers, addresses, or anything that could identify an individual. It only asks household info including ZIP code, income, household size, age, and situation details — the minimum needed to check eligibility. All results are aggregated, so your dashboard shows totals and trends, never individual responses. If someone wants to save their results, they can optionally enter an email, but that's entirely their choice.
Are you HIPAA compliant?
BenefitsUSA is not a HIPAA covered entity and is not subject to HIPAA's requirements. Here's why: HIPAA applies to healthcare providers, health plans, and healthcare clearinghouses. BenefitsUSA is none of these — we're a benefits information and eligibility screening tool, not a healthcare provider or health plan. The information you collect through our screener (income, household size, disability status) is not Protected Health Information (PHI) as defined by HIPAA, because it is not created or received in connection with providing healthcare treatment or payment. That said, we take data security seriously. Screening data is encrypted in transit and at rest, stored on SOC 2 certified infrastructure (Supabase and Vercel), and never sold to third parties. If you're a health center or FQHC, you can share our privacy policy and this FAQ with your compliance team — we're confident it will satisfy their concerns.
Can we sign a Business Associate Agreement (BAA)?
No, and you don't need one. A Business Associate Agreement is a HIPAA contract between covered entities and their business associates. Since BenefitsUSA is not a HIPAA covered entity and the data shared through our tool is not PHI, a BAA is not applicable or required. If your compliance team or legal counsel wants written documentation of how we handle data, we're happy to provide a Data Protection Addendum (DPA) describing our data handling practices, security measures, and sub-processors.
